If you’ve already found your own domestic helper (maid), Pinkcollar’s Employer-Sourced Service offers a simpler and more affordable way to hire — while ensuring the process is done legally, seamlessly, and in line with both Malaysian and source-country regulations.
Who This Is For
- You’ve already found a domestic helper
- She’s either overseas or already in Malaysia
- You want to hire her properly (with a work permit, contract, and insurance)
- You want to avoid using unlicensed agents and prioritise a risk-free process
Why This Is More Affordable
A traditional Full Placement Service — where the agency handles sourcing, screening, and matching — typically costs RM18,000 to RM20,000.
With Pinkcollar’s Employer-Sourced Service, you already have a helper in mind. That means you only pay for the visa essentials: legal processing, documentation, and support.
For example:
- Employer-Sourced & International Visa Processing: RM15,000 (excluding SST)
- Employer-Sourced & Local Visa Processing: RM7,000 to RM8,000 (excluding SST)
You could save up anywhere from RM5,000 to over RM10,000, while still getting full legal and customer support from a licensed agency. Details on our service options are explained below.
Step 1: Is Your Helper Eligible to Work in Malaysia?
Before we begin, we’ll help you check whether your chosen candidate meets the basic legal requirements to work in Malaysia. These include:
- Aged between 21 and 45 years old (some countries, like the Philippines, require a minimum age of 24)
- Medically fit to work (must pass a medical exam in her home country and Malaysia’s FOMEMA medical check-up upon arrival)
- No record of abscondment, blacklist, or immigration violations in Malaysia
Not sure if your helper meets the requirements? We’re happy to advise you before you proceed with any service. You may reach us here.
Step 2: Are You Eligible to Hire?
Malaysia’s immigration guidelines also outline who qualifies to hire a foreign domestic helper. These conditions vary by the helper’s country of origin, but generally include:
- Being a Malaysian citizen or expatriate with a qualifying visa (Employment Pass & Residence/ Talent Passes only)
- Meeting the minimum monthly household income requirement, which varies by country (e.g. RM5,000 for Filipino helpers & RM7,000 for Indonesian helpers)
- Submitting your application through a licensed employment agency

Step 3: Pinkcollar’s Employer-Sourced Services (Local & International Visa Processing)
Once we confirm your eligibility and your helper’s status, Pinkcollar will take over the next steps to process your helper’s work permit, depending on where she is currently located.
If Your Helper Is Overseas
We’ll assist with bringing her to Malaysia legally under an approved work permit. Our service includes:
- Contract registration with the Philippine or Indonesian embassy
- Visa application
- Pre-departure training
- Medical screening
- Insurance and airfare
Service: Employer-Sourced International Visa Processing Fee: RM15,000 (excluding SST)
If Helper Is Already In Malaysia
Thinking of hiring a helper who is currently still legally working with another employer? In this case, we help transfer her work permit into your name and handle the required local documentation.
Service: Employer-Sourced Local Visa Processing Fee: RM7,000–RM8,000 (excluding SST)
What About MaidOnline?
MaidOnline is Malaysia’s official online system for domestic helper work permit applications. It is available to Malaysian employers only, and is often seen as a more direct and affordable option.
However, for helpers from the Philippines or Indonesia, the system does not include a step to register the employment contract with their home country’s embassy — which is a required process before they can legally leave their country for work.
Without embassy registration:
- The maid may be barred from departing her country of origin
- You may risk visa rejection or be in breach of Embassy rules
- There is no protection or accountability if disputes arise
- Malaysian and Indonesian government regulations prohibit the processing of Indonesian domestic helpers through the MaidOnline system. Instead, these workers must be processed through our Employer-Sourced & International Visa Processing service to ensure full government compliance.
It’s also important to note that although Pinkcollar provides the Employer-Sourced & Local Visa Processing (MaidOnline) service, it is exclusively available for foreign domestic helpers meeting specific eligibility criteria.
